1. Definitions

1.1. Administrator-Order Solutions Job Agency spółka Z ograniczoną odpowiedzialnością with its Registered office in łódź (90-135), ul. prezidenta Gabriela Narutowicza 40/1, entered into the National Court register-Register of entrepreneurs under KRS number 0001102281, NIP 7252343128, REGON 52846210500000.
1.2. Personal data – information about a natural person identified or identifiable by one or more specific factors determining physical, physiological, genetic, mental, economic, cultural or social identity, including IP device, location data, internet identifier and information collected through Cookies and other similar technology.
1.3. Policy – this Privacy Policy.
1.4. GDPR-regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC.
1.5. Service – the website maintained by the administrator at ordersolutions.pl.
1.6. User – any natural person visiting the website or using one or more services or functionalities described in the policy.

2. DATA PROCESSING IN CONNECTION WITH THE USE OF THE WEBSITE

2.1. In connection with the use of the website by the user, the Administrator collects data to the extent necessary to provide individual services offered, as well as information about the user’s activity on the website. Below are described the detailed rules and purposes of processing personal data collected when using the service by the user.

3. PURPOSES AND LEGAL BASES OF DATA PROCESSING ON THE WEBSITE USE OF THE WEBSITE

3.1. Personal data of all persons using the service (including IP address or other identifiers and information collected through cookies or other similar technologies) are processed by the administrator:
3.1.1. in order to provide services by electronic means in the scope of making available to users the content collected on the website – then the legal basis for processing is the necessity of processing for the performance of the contract (Article 6 (1) lit. B GDPR);
3.1.2. for analytical and statistical purposes – then the legal basis for the processing is the legitimate interest of the controller (art. 6 para. F GDPR), consisting in conducting analyses of user activity, as well as their preferences in order to improve the functionality used and the services provided;
3.1.3. for the purpose of establishing and pursuing claims or defending against claims – the legal basis for processing is the legitimate interest of the controller (Article 6 (1) lit. F GDPR), consisting in the protection of their rights.
3.2. When using the contact form on the website, the Administrator processes personal data provided by the user (m.in. name, e-mail address, telephone number and other data provided in the request):
3.2.1. in order to handle the sent request and present an offer of cooperation – then the legal basis for processing is the necessity to take action at the request of the data subject before entering into a contract (Article 6 (1) lit. B GDPR);
3.3.2. in order to maintain business relations and communication with potential contractors-which is a legitimate interest of the administrator (Article 6 (1) lit. F GDPR).
3.3. The recipients of the data may be companies affiliated with Order Solutions Job Agency SP. z O.o., as well as trusted entities supporting in the implementation of specific processing purposes. These may be entities from the IT industry, providing accounting, consulting, legal, debt collection services, postal operators, cooperating marketing agencies, and, where appropriate, also our other contractors who provide services to the administrator, if the provision of data is necessary for the performance of the service.

4. E-MAIL CORRESPONDENCE

4.1. In the case of sending to the administrator by e-mail correspondence not related to the services provided to the sender or other contract concluded with him, the personal data contained in this correspondence are processed solely for the purpose of communication and resolution of the matter to which the correspondence relates.
4.2. The legal basis for the processing is the legitimate interest of the controller (art. 6 para. F GDPR) consisting in conducting correspondence addressed to him in connection with his business activities.
4.3. The Administrator processes only personal data relevant to the matter to which the correspondence relates. All correspondence is stored in a way that ensures the security of the personal data (and other information) contained therein and is disclosed only to authorized persons.

5. COOKIES AND SIMILAR TECHNOLOGY

5.1. The Administrator uses cookies mainly to provide the user with services provided electronically and to improve the quality of these services. Therefore, the Administrator and other entities providing analytical and statistical services to them use cookies, storing information or accessing information already stored in the user’s telecommunications terminal device (computer, phone, tablet, etc.). The use of cookies within the service is not intended to identify users. The policy regulates the processing of data related to the use of our own cookies.

6. NECESSARY COOKIES

6.1. The Administrator uses the necessary cookies primarily to provide users with the services and functionality of the website, which the user wants to use. Necessary cookies can only be installed by the administrators via the website.
6.2. The legal basis for data processing in connection with the use of Necessary cookies is the necessity of processing for the performance of the contract (art. 6 para. (b) GDPR).

7. ANALYTICAL COOKIES

7.1. Analytical cookies allow us to obtain information such as the number of visits and traffic sources on the website. They are used to determine which pages are more popular and which are less popular, and to understand how users move around the site by keeping statistics about traffic on the site. Data processing is carried out in order to improve the performance of the website. The information collected by these cookies is aggregated and is therefore not intended to establish the identity of the user. Analytical cookies can be installed by the administrator and its partners through the website.
7.2. The legal basis for the processing of personal data in connection with the use of necessary and analytical cookies by the administrator for this purpose is its legitimate interest (Article 6 (1) lit. F) GDPR), consisting in ensuring the highest quality of services provided on the website.
7.3. The processing of personal data in connection with the use of analytical cookies depends on obtaining the user’s consent to the use of analytical cookies through the cookie consent management platform. This consent may be withdrawn at any time via this platform.

8. PERIOD OF PERSONAL DATA PROCESSING

8.1. The period of data processing by the controller depends on the purpose of the processing. As a rule, data are processed for the duration of the provision of the service, until the withdrawal of consent or effective objection to data processing in cases where the legal basis for data processing is the legitimate interest of the administrator.
8.2. The period of data processing may be extended if the processing is necessary to establish and pursue possible claims or defend against claims, and after that only if and to the extent required by law. After the end of the processing period, the data are irreversibly deleted or anonymized.

9. USER PERMISSIONS

9.1. The user has the right to access the data content and request their correction, deletion, restriction of processing, the right to data portability and the right to object to data processing, as well as the right to lodge a complaint with a supervisory authority dealing with the protection of personal data.
9.2. To the extent that the user’s data is processed on the basis of consent, you can withdraw this consent at any time by contacting the administrator by e-mail to biuro@ordersolutions.pl.
9.3. The user has the right to object to the processing of data for marketing purposes if the processing is carried out in connection with the legitimate interest of the controller, as well as – for reasons related to the particular situation of the user – in other cases where the legal basis for the processing is a legitimate interest of the controller (e.g. in connection with the implementation of analytical and statistical purposes).

10. DATA RECIPIENTS

10.1. In connection with the implementation of the services, personal data will be disclosed to external entities, including in particular suppliers responsible for operating IT systems.
10.2. The Administrator reserves the right to disclose selected information about the user to the competent authorities or third parties who submit a request for such information, based on an appropriate legal basis and in accordance with the provisions of applicable law.

11. TRANSFER OF DATA OUTSIDE THE EEA

11.1. The level of protection of personal data outside the European Economic Area (EEA) differs from that provided by European law. For this reason, the controller transfers personal data outside the EEA only when it is necessary and with an adequate level of protection, in particular by:
11.1.1. cooperation with personal data processors in countries for which the relevant decision of the European Commission on the determination of an adequate level of protection of personal data has been issued;
11.1.2. application of Standard Contractual Clauses issued by the European Commission;
11.1.3. the application of binding corporate rules approved by the competent supervisory authority.
11.2. The Administrator always informs about the intention to transfer personal data outside the EEA at the stage of their collection.

12. SECURITY OF PERSONAL DATA

12.1. The controller carries out a risk analysis on an ongoing basis in order to ensure that personal data are processed by them in a secure manner – ensuring, above all, that only authorized persons have access to the data and only to the extent necessary for the tasks performed by them. The Administrator ensures that all operations on personal data are recorded and performed only by authorized employees and associates.
12.2. The controller shall take all necessary steps to ensure that its subcontractors and other cooperating entities also guarantee the application of appropriate security measures in each case when they process personal data on behalf of the controller.

14. PRIVACY POLICY CHANGES

14.1. The policy is reviewed on an ongoing basis and updated if necessary.
14.2. The current version of the policy has been adopted and is effective from April 1, 2026.
